CV storage is contained within the database and HRS has no problem reproducing any document stored within a record on either platform. CVs can be emailed to a client directly out of the database using MS Outlook for Windows, Entourage or Mail for Macintosh. HRS Pro also utilises multi platform applications when integrating with Diaries and is comfortable running calendar events to Outlook, Entourage or iCal.

CV Parsing & Auto Skilling

CV parsing comes in 2 formats in HRS. We have a built in CV parsing mechanism that we offer for free with HRS Pro that provides instant field information such as Names, addresses, phone numbers, emails, salaries, and current employment details.

Auto skilling instantly follows the CV parsing process and allows any user to choose categories from which skills can be extracted or limited to.

We also link and sync to Daxtra technologies, which provides a more in depth CV parsing facility but for a price. Information such as a historical picture of previous employment is posible, along with the years of experience at each level of the candidates employment.

2 way html styled emails

HRS Pro now has 2 way html styled emails built into the product.

It is now possible to send html styled emails from HRS, whether individually or to a group of contacts or candidates. It is also possible to choose from a number of different signatures you have in the system and have though email signature use web links to help increase your google rating.

With other recruitment packages receiving emails was a nightmare. HRS now offers 2 way emails making it possible to totally do away with your email package simply synchronise with it. All incoming emails are linked directly to the contact in your database record without you having to do a single thing.

Any unlinked email will stay in your inbox and replying to emails can now be achieved with a single click.

Remotely Accessible

With the help of Broadband and static IP addressing, HRS can be accessed from anywhere in the world without setting up VPN connections. All you need to do is open up your firewall settings to make sure there connections aren't blocked.

Speed and performance is only interrupted by poor internet connections and all the usual local networked features remain absolutely true to HRS.

This is not a web based solution, so there is no functionality compromised when connections are made. Creating reports, performing complex searches or simply sending CVs to clients is as if you were right there in the office.

Candidate & Job Matching

One of the finest features in HRS Pro is the ability to instantly match one candidates skills to the rest of your candidate records, jobs, and / or clients.

This process is reversible. From a job spec, you can instantly find all candidates that match the skill and location preference of that job with one click.

It is also possible from here to filter locations, add skills or categories and therefore provide a more accurate refection of whose skills more closely match the candidate selected.

Auto Placement & Invoice Generation

The strength of HRS  Pro not only lies in it's ability to search, link information and run reports. Using HRS Pro's job activity will automate all your job progress and workflow processes. At the end of any process a placement record is generated recording all the information that is needed for that placement linking it back to the job file.

At this point a report can be generated and commission structures analysed. There is also a button on within the placement record which is management authorised only, can generate an invoice adding the details of that placement to the report functions. The result being that although you have only followed though the workflow, at the end you have created a placement record and generated an invoice to the associated client.

Multi-User Diary

No matter how many users you have set up in HRS, any one or all of them can access the diary, view and edit data, then synchronise that information to their Outlook, Entourage or iCal diaries.

When creating a diary event, any user can also assign a reminder to that event which in turn cab be synchronised to your external diary and therefore allow for your reminders to be controlled by a PDA, phone or Outlook itself.

From the diary you can also access all of a contact or candidates details flicking between the two pages at will.

Boolean Searches - CV Text & Postcodes

No Search facility would be good enough if it didn't allow the user to add to their search criteria. HRS Pro offers the most flexible search facility on any recruitment package. Any field that contains data can be searched, and that's not all. HRS also offers Boolean searching adding to your specific search criteria.

In short, you can search with a combination of ANDs, ORs or NOTS and limit the results of the search by distance to a postcode. These searches can be carried out in fields such as skills, positions, salary range, CV text and more. All searches can be extended or constrained to reduce or expand your current criteria. CV text searching also produces text highlights to identify where it found that criteria and how many times it did so.

Finally, both the criteria and the results can be saved for later retrieval.

Full Activity Reporting

Reports are added to HRS Pro on a regular basis. Most of our clients are more than happy with the built in reports that HRS Pro provides to it's users. However, occasionally we get a request to develop a new report from a client that, with there permission, we add to HRS and make it available to all our supported customers.

The Activity report is the most commonly used and provides the managers with a tool that summarises the entire actions of every consultant using HRS Pro. Each consultant's activities are monitored continuously and includes the no of calls logged, notes made, interviews created, CVs entered into the system, contacts entered into the system, CVs sent to clients, placements booked, and invoices generated within any date range you request.

Financial information is also recorded in HRS and some of the built in reports include full yearly financial summaries of all sales.

Comprehensive Workflow

The entire workflow processes in HRS Pro can be automated from the very second you a consultant receives a CV. Bear in mind that any email or letter generated is editable so the context can be changed at anytime.

Automated inputting and parsing of CV information starts from the creation of a record and moves though the autoskilling processes instantly. From here the CV can be matched to a job and instantly sent to a client.

The workflow moves in the Job Activity section at this point where the recording of interview details can be easily managed, with interview letters or emails generated and linked to the client and candidate.

The final section of the workflow delivers offer details to the candidate and acceptance letters from the candidate. Once a job is accepted from both parties, a placement file is generated and you have the option or updating the candidates details instantly or when they start their employment.

This information and all communications involved are linked to the candidate, contact, client and job, so where ever you look to retrieve information it will all be at your fingertips.

Fully Customisable

Being x-recruiters we understand the role of a recruiter can differ enormously from company to company or consultant to consultant and that is why HRS Pro is a fully customisable solution.

Although we believe that we have provided the users with the best way of working we also know that there are some users that will require the database to be developed to satisfy their specific needs.

A meeting is usually set to discuss these changes with our clients. Once fully understood, these changes are then schedules with our clients and implemented at a designated time that suits both the client and ourselves.

Instant Mail Merge

Mail merges within HRS Pro couldn't be easier. Simple search for the contacts you wish to send an html email, letter, fax or SMS text message to.

All emails are sent individually so you can personalise the email and ensure that no one receives an email as part of a group and either as html or plain text.

It is also possible to send out Christmas cards or newsletters from HRS with extreme ease. Another nice feature that the mail merge has is the ability to switch between the email chosen for a particular contact. Each contact has a preferred communication choice where candidates are defaulted to home and clients to their work address. This is interchangeable, and therefore allows the user to safely send emails without intrusion or the risk of annoying their candidates employers.

Built in SMS Text Messaging

Choose from one of 4 providers we have set up in HRS Pro. From Skype to eText and at a click of a button, your contacts or candidates will have a text message delivered directly to their phone.

All providers work independently and prices vary depending on the quantity of message you intend to send. Mail merge or bulk text messages can also be delivered with only a few clicks and both actions are recorded in HRS to make sure you don't duplicate your communications.

Perm, Temp & Contract Vacancies

HRS Pro does not favour any particular type of vacancy. Whether you work in the permanent, temp or contract markets, HRS Pro makes light of the work involved.

From the users point of view it makes no difference. Simply choose what type of vacancy you are working on and the database does the rest. With permanents, the workflow kicks in, with Temps the timesheet section gets to work.
